A fantastic opportunity has become available in a Government agency for a team focused Project Team Administrator. 

You must be able to demonstrate outstanding organisational skills, with a passion and experience in a range of project administration tasks. 

The role: 

The role will see you support the delivery of projects running throughout the organisation. You will focus on maintaining project documentation and coordinate inputs from internal and external resources, prepare agendas, minutes and reports relating to projects and the broader program. 

Your major responsibilities will include: Project Management Review
 
  • Project Documentation 
    • Project plans are maintained and available to internal and external stakeholders
    • Agendas are provided for project meetings and minutes taken and distributed with actions required
    • Data Entry
    • Project and Program reports are prepared and delivered as scheduled
  • Liaising with vendors
    • Work with vendors to ensure project documentation is maintained
    • Highlight areas of significant variances or risks impacting vendors
    • Carry out ad-hoc reporting and analysis as required
    • Assist in the development of automated reporting
  • Project Management Review
    • Monitor the delivery of projects and make recommendations relating to process improvements
    • Co-ordinate post implementation reviews
To be considered for this position you will have:
  • Minimum 2 years previous experience as a Project Team Administrator or similar, supporting a range of concurrent projects
  • Proven ability to put together a project plan, in a very operational environment
  • Proven track record of working with both internal and external stakeholders to ensure timely delivery
  • Strong communication skills, with the ability to be proactive and ensure that all stakeholders are kept up to date effectively, highlighting any risks
  • Highly established organisational skills
  • Excellent time management
  • High level of initiative, enthusiasm and a focus on continuous improvement
  • Ability to deliver outcomes effectively
  • Ability to prioritise and meet critical deadlines
  • Intermediate MS Office
