Role & Responsibilities

This role has a reporting line to the HR Generalist and the Financial Controller in a 60:40 split. Key responsibilities include;

HR Administration

  • General office administration – maintaining stationery, managing office supplier contracts, collecting & distributing mail.
  • Administration of business communications – newsletter, memos, intranet.
  • Ownership of employee cultural initiatives such as monthly lunches, family days etc.
  • Administering the performance review process for mid and end-year.
  • Supporting with recruitment activities and onboarding. 
  • Administering the employee reward and recognition program.
  • Analysing employee attendance data and reporting to the HR Generalist.
  • Organising and coordinating annual Christmas function.
  • Ad hoc HR duties as required.

Financial

  • Liaising with Purchasing and other departments in the processing of invoices and purchase orders
  • Matching of purchase orders/invoices/statements and reconciliation of accounts.
  • Accurate high volume data entry of invoices.
  • Accurately account coding to the General Ledger.
  • Ensuring accounts are paid on time according to the negotiated creditor trading terms.
  • Preparation of EFT payments.
  • Response to creditor queries.
  • Maintenance of supplier and contractor SAP database.
  • Maintenance of physical supplier contract register
  • Maintenance of the document archive register
  • Ensuring standard operating procedures are continuously updated
  • Month end closing functions including but not limited to accruals etc.

Identifying improvement opportunities within scope of role

Skills and Experience

Experience

  • Experience using SAP – desirable
  • HR Admin/Accounts Payable experience – desirable

Technical Skills

  • Strong MS Office skills
  • Completing or recently completed bachelor's degree in Business, Finance, HR or equivalent
  • Driver's license and own transport – required

Soft Skills

  • Strong attention to detail
  • Naturally organised
  • Ability to build relationships at all levels of the organisation.
  • Effective communication skills, both internal and external.
  • Ability to maintain confidentiality.
  • Strong prioritisation skills and ability to manage multiple priorities.
  • Ownership – ability to see tasks through to completion at a high standard to timelines.
