Job Purpose

This role plays a vital part in providing logistical and operational assistance and oversight to both arms of the business – helping to ensure both event and training sessions are delivered professionally. The role is also customer facing and requires engagement with speakers, trainers, suppliers, venues, firms, attendees and sponsors.

Key Achievements and responsibilities 

  • Training delivery oversight – manage the training function operations
  • Venue management – research suitable venues, negotiate competitive rates and undertake ongoing venue liaison for both Events and Training
  • Venue logistics – course delivery administration, CMS (database), catering, badges, attendance lists etc
  • Online logistics – setting up web class in adobe connect, hosting web class
  • Trainer/speaker administration – pre and post course management including booking in and managing delivery dates, trainers’ travel, special requirements, presentations and papers
  • Financial administration associated with training courses & events – purchase orders, invoices, manage and update P&Ls
  • Training measurement –maintain evaluation forms and collate and analyse data post event and report to operations and product manager
  • Training materials - assist with course material production, distribution and update
  • Event materials – assist with preparing event materials, set up etc
  • Delegate management – sign-in sheets for training, pre and post communication, delegate lists, certificates, assisting with seating charts etc
  • Delegate queries – respond to customers as needed
  • Progress Reports – administer the creation and dissemination of a range of Excel based progress reports
  • Reporting – as needed to Product Manager, Head of training, Head of Operations & Events Manager
  • Maintain, improve and innovate systems and processes
  • Assist in sourcing speakers and presenters for events
  • Smooth running of all Events and Training
  • Positive feedback from Members and Clients on their interactions with this role
  • Improved NPS (Net Promotor Score) for events.

    Knowledge and skills required 

  • Experience of procurement and supplier management
  • Experience of Online Learning platforms is preferable
  • Experience using Eventbrite or a similar EMS
  • Event coordination exposure or experience preferable
  • Excellent communication and team working skills. 
  • Highly organised and methodical approach with a good eye for detail.
  • Proactive, confident and creative approach to work.
  • Ability to work well under pressure and manage own workload.
  • High level of client service with a good telephone manner and ability to communicate at all levels.
  • Experience as a logistics coordinator within a commercial training or conference organisation
  • Strong project management and logistics skills – delivery on time and within budget
  • Customer focused and ability to build good internal relationships
  • Highly IT literate including advanced Microsoft Excel & Power point skills
  • Excellent communication, persuasion, negotiation and presentation skills
  • Budget management and planning skills
  • Strong organisational and multi-tasking skills.
