The Role:

  • $71k-$81k plus 9.5% super and leave loading
  • 12 Months fixed term contract

The Administrator provides a high level of administrative support and general expertise to all staff including senior managers and unit managers. They are part of an administration team responsible for a range of complex administrative duties as well as specific projects as required by their assigned area of the business. The main purpose of this function is to manage effectively and successfully the complex administrative requirements of the School.  

Key responsibilities include:

  • Provide consistent and high quality administrative support to the Head of School, School Manager and School Office;
  • Provide high-level support to the Head of School in the form of diary management, travel arrangement, drafting and sending of correspondence (email, letters and reports), meeting scheduling, and approval documentation organisation, distribution and filing.
  • Coordinate School committee meetings, assisting with scheduling, meeting room set-up, and preparing accurate correspondence and documentation in the form of meeting invitation, agenda, reports and minutes in a timely manner.
  • Administer seminar and visitor support to the School Manager and Seminar coordinator by liaising with the visitor to arrange domestic/international travel, accommodation, 1:1 meetings, office space and UNSW access, and an introductory welcome pack. In addition, manage the logistics of the seminar event by drafting and circulating the seminar invitation, arranging venue and catering options, and overall set-up and pack down of the event.

Selection Criteria:

  • Relevant tertiary qualifications with subsequent relevant experience and/or equivalent level of knowledge gained through a combination of education, training and/or experience in a tertiary organisation
  • Outstanding interpersonal and communication skills including the ability to liaise with a diverse group of people from varying backgrounds and seniority.
  • Proficiency in computer software packages including advanced levels of Microsoft Word and Outlook and intermediate level skills in Microsoft Excel.
  • Demonstrated organisational skills including the ability to prioritise, manage complex tasks and projects and meet competing deadlines whilst maintaining accuracy and attention to detail.
