The Role

The purpose of this role is to support both the Senior Sales Agent and the extended team from an administration and organisation perspective.  

What do we need from you?

This role is best suited to someone with solid experience in administration and team assistant roles. Your friendly professional manner will see you be successful in this client facing role as you build rapport and relationships quickly. You are mature in your approach yet able to have fun as part of this energetic team. 

In addition you will have or be:

- Strong and extensive administration skills and attention to detail
- Proven influential and relationship management skills as you liaise with stakeholders daily
- Proficient in Microsoft Office including Advanced Outlook, Word, and Excel skills
- Able to take initiative and work autonomously
- Able to manage the projects, time and meetings, diary management of the team

Your Responsibilities

- Management of the Senior Agents diary including scheduling and confirming all appointments  
- Administration tasks for the Agent including filing, faxing, mail, responding to queries, emails, updating the website, data base management
- Administrative processing for all properties listed For Sale
- Preparing properties to go to market including organising quotes and styling
- Liaising with and coordinating vendors, colleagues and tradespeople/suppliers throughout the preparation process
- Assisting sales agents during the listing process, organising all open packs ready for inspections
- Attending photoshoots
- Managing correspondence such as emails, linked in, Instagram etc. as required 
- Valuations
- Facilitating communication with solicitors during the sales process  
- Liaising with the marketing team to ensure all campaigns, listings and communications are managed in a timely manner
- Setting up listing, appraisal and marketing appointments 
- Conducting pre settlement inspections + building and pest inspections
- Attending buyer appointments if the Agents are unavailable
- Lodging documents once a property is sold
- Ongoing administration to support client service management with the vendor through the sales and settlement process including organising post sale gifts, personalised cards, arranging tradespeople 
- Preparing the Senior Agent for meetings and documentation e.g. proposals, presentations, agency agreements, PI Sheets and marketing agreements
- Draft and managing internal and external communications on behalf of the Senior Agent  including emails, memos, documentation, reports 
- Compiling reports such as; Market Updates, Vendor report, Senior Agent reporting, commission invoices, Rp Data, APM, Exchange List and Currently Listed
- Provide exceptional service to staff, management, current, potential & past vendors, Landlords, Tenants, Employees and visitors to our organisation in an efficient and professional manner
- Other ad hoc projects and tasks as required
