Admin & Customer Liaison Officer

HeartKids Limited

HeartKids Ltd is seeking a full time Admin & Customer Liaison Officer who will provide administration support to the GM Finance and Operations, including NSW Office administration, plus project and campaign administration support to the Corporate Fundraising Team.

Skills and experience 

·         Strong customer service focus and commitment, with the ability to respond directly to enquiries, or identify and liaise with appropriate internal staff.

·         Strong communication skills including ability to build confidence and

rapport with customers.

·         High degree of confidence and experience in responding to general information enquiries by telephone, mail, email and social media.

·         The ability to adapt to varying work demands and to be flexible when required.

·         A demonstrated capacity to multi task and deliver results against competing deadlines

·         Positive, professional and inclusive attitude.

·         Ability to handle confidential and sensitive information respecting privacy

·         Excellent attention to detail with good time management skills.

·         Good written and oral communication and negotiation skills.

Essential Qualifications:

·         Proficient in using Customer Relationship database’s, and data entry

·         Advanced use of Office 365, including Outlook, Excel, Word, PowerPoint, SharePoint and OneDrive.

 

Duties and responsibilities

·         Manage inbound communications for key HeartKids email, telephone (incl. 1800 Helpline), mail and social media channels.

·         Maintain 1800 roster for after hours.

·         Data entry of customer, client, sponsor and donor information.

·         Fundraising donation processing and receipts.

 

     Sydney Office Support (10%)

·         Reception

·         Banking

·         Stock count and monitor for NSW and Corp office (incl. processing and coordinating Heart Beads orders),

·         Stationary orders

·         Supplier co-ordination – e.g. phone, utilities, internet, maintenance, etc

 

         Fundraising Team Support (10%)

·         Vending and donation | collection box admin.

·         Ad-hoc admin support for campaigns.
