Through joining the Artisan team, you will play a role in assisting our valued clients to look and feel their best. 

This exciting opportunity will see you providing best practice professional support to all clinical and medical practitioners daily. This role is a key role in our clinics and is critical to the operational efficiency of all clinical and administrative practices.

 

You will be the first point of contact for all our new and existing clients. Your first priority is to create a fantastic, personalised and memorable experience from the initial contact, during appointments and, throughout our client’s journey.

 

Key Responsibilities:

 

Client & Customer Experience

 

  • Respond to telephone and email enquiries in a professional and timely manner
  • Greet and liaise with clients, schedule treatment, ensuring a personalised service is delivered in each interaction
  • Educate clients on service offerings
  • Manage feedback from the team or clients to ensure quick resolution that exceeds client’s expectations.
  • Be mindful of service times (waiting & treatment times) to ensure that the experience is never compromised
  • Follow-up post treatment
  • Communicate client updates with the Nurse team
  • Maintain the presentation of the clinic

 

 

Administrative Functions

 

  • Ensure patient records and files are maintained and organised in relevant systems and all client information is current
  • Schedule client appointments and follow-up in the most efficient manner
  • Organise and consolidating billing and receipts
  • Perform opening and closing procedures as required
  • Complete daily and weekly banking and reconciling of accounts
  • Provide reporting related to clinic operations as required
  • Perform stocktake and supporting audits as required and be observant of stock levels and report accordingly for action
  • Maintain the clinics social media accounts and update marketing content as required
  • Conduct outbound sales and research calls for business development as directed by the Vita Group Leadership team
