The Alpha Group is a privately owned National Car Finance/Hire & Car Parking Company with a Head Office in Brisbane. We are a small friendly dynamic team working in a supportive work environment, with a strong culture of team work. 

We are currently recruiting for an Asset (Fleet) Administration Coordinator with a positive can-do attitude who will be responsible for liaising with customers to complete the vehicle lease process, and follow up with internal departments and 10 national branches.  

This role reports to the Asset (Fleet) Manager and will be their right-hand person, allowing the Asset Manager to continue to take our current fleet management system to a new level of efficiency and effectiveness.

Key responsibilities include:

  • Maintain high standards of administration to ensure our relationships with our customers are at best practice levels
  • Coordinate vehicles files – log books and key
  • Prepare Certificate of Currency for our Insurer and maintain records of all Certificates of Currency issued
  • Assist the Asset Team with on boarding vehicles into our internal systems
  • Use systems (CARS+) and other internal systems to update vehicle records
  • Complete the transfer of ownership for all end of lease customers
  • Coordinate with Branch Managers the End of Lease transfer paperwork and vehicle files
  • Assist the Asset Team with sale of vehicles
  • Work collaboratively across departments and with external business partners
  • General administration tasks

Ideal Candidate:

Ideally you will have an open driver’s licence and experience in a similar role (1-3 years), however this could suit someone with dealership administration experience or someone seeking a change from the Sales or Service administration role.  Accuracy in paperwork, planning and follow up form a large part of this role.  You must be able to multi task and prioritise workloads effectively to ensure that both the Asset Manager and the customer requirements met within the time frames specified.  Finally you will be able to work in a team environment and have excellent written and verbal communication, be PC literate (experience in using Cars+ advantageous).
