Point of View Design Pty Ltd is a leading Australian Lighting Design company, with offices in Sydney, Melbourne, Gold Coast & Perth. Our client base is global and predominantly commercial. We are currently looking for an administration assistant to join our Sydney office.

As the administration assistant you will be required to be able to work alongside a fast-moving team in all facets of the company while providing high level administrative support.

  • Receiving, sorting and distributing incoming correspondence
  • Make travel arrangements where required
  • Data entry into our inhouse software and our accounting package xero
  • Development/maintenance of efficient administrative systems and e-filing including client invoicing details
  • Maintaining database systems records, including client invoicing details
  • Management of office environment including basic facilities maintenance, building services and keeping relevant supplies in stock, maintaining phone systems and accounts
  • Maintenance of IT equipment including software control
  • Management of diaries/calendars and in-studio appointments, including, industry subscriptions, awards/submissions  
  • Reception duties – answer phones, take messages, greet visitors
  • Event Administration roles at staff events when required.

Further duties:

  • Increasing management’s effectiveness through active communication across all of the team.
  • Prioritise tasks to ensure that projects & events are completed by deadlines
  • Help streamline processes to maximise effectiveness.
  • Provide support at all levels of the organisation.
  • Communicate and embody the company vision and values.

What we are looking for:

Excellent communication skills - written, verbal, presentations, collaboration, etc.

Time and priority management, flexibility, adaptability, quick learning for a fast-paced, constantly changing environment and schedule.

Personal effectiveness/credibility and stress management/composure.

Technical ability for basic IT troubleshooting, familiarity with various OS, apps, software programs etc.

Familiarity with Xero web-based services accounting software

Complete working knowledge of Microsoft.
