In this position - located in our Macquarie Park, Australia office - you will be responsible for providing light administrative and organizational support to our office. Specific, on-the-job training will be provided. In this position, you will have the following responsibilities:

  • Answer incoming calls and greet clients / visitors.
  • Office and meeting room set up for various meetings and visits by customers.
  • Coordinate staff activities using calendars.
  • Organize the training room including set up for coffee breaks and catering.
  • Assist the director and senior managers with general duties and events.
  • Organize various administrative tasks and coordinate with USA office, suppliers and contractors.
  • Organize Microsoft Office calendars with staff schedule.
  • Organize travel bookings for traveling staff.
  • Organize and purchase office supplies.
  • Attend meetings and take minutes and notes of the meeting.
  • Manage an office Action Item list and calendar for repairs, services, payroll, etc..
  • Coordinate invoicing and billing.
  • Other administrative duties as assigned.

This is a full-time position with full entitlements including leave.

Requirements

  • A minimum of 2 years’ experience in a similar position with proven customer service skills.
  • Be well-presented with a pleasant phone manner.
  • Maintain a positive approach to daily interactions with all stakeholders.
  • Excellent attention to detail and organizational skills.
  • Sound communication skills.
  • A keen eye for detail.
  • Intermediate MS Office experience including Word, Excel, PowerPoint and Outlook.
