Your new role
As a Senior Executive Assistant (APS5) you will be responsible for providing timely and effective senior level administrative and executive support functions to Senior Executive Officers. You will have sound judgement and the ability to manage your individual workload in a demanding and high pressure environment. You will demonstrate initiative to begin and/or progress tasks where necessary to assist with smooth workflows and ensuring set timelines and deadlines are met. Highly developed time management, negotiation and coordination skills are required to undertake this role effectively.

As the Executive Assistant, you will be responsible for providing high level EA support to senior executives, including:

  • Management of diaries including coordination of meetings, conferences and events in a timely manner whilst exercising judgement;
  • Coordination of correspondence, briefing papers and other relevant documents;
  • Drafting replies to straightforward and less complex correspondence or policy queries and performing moderately complex research, analysis and reporting tasks;
  • Registering and coordinating all incoming and outgoing correspondence and documentation using new digital procedures;
  • Managing classified and sensitive information in accordance with Department handling guidelines;
  • Liaising with Departmental inter-departmental, ministerial, government and private sector stakeholders; and
  • Coordinate, manage and acquit all domestic travel and international for senior executives and perform duties of CMS account holder acquittals.


What you'll need to succeed
You will be able to prioritise, work to tight deadlines, demonstrate outstanding verbal and written communication skills and have a working knowledge of the MS Office packages. You are creative, innovative and have the ability to hit the ground running. You ideally will have worked with Objective, PDMS and Sharepoint. The Ideal Candidate will demonstrate:

• Extensive experience and competence in a service-oriented position.
• High level attention to detail.
• Competent use of administrative and financial systems.
• Ability to work within a small, dynamic team.
• Sound written and excellent oral communication.
• Understanding of government administration and processes.

Previous experience in a similar role within the Federal Government is highly desirable. You must be an Australian citizen and will possess or be willing to go through the process to obtain and maintain the minimum of a Baseline personnel security clearance.
