The Presentation Sisters, Lismore is a Catholic Religious Congregation that has had a close association with teaching and social justice since their foundation almost 132 years ago. The Lismore Congregation is a member of the Presentation Society of Australia and Papua New Guinea.
The Role
The Administration Assistant will provide high-level administrative support to the Congregation Leader and her Leadership Team, helping them to continue their work of being of service to others in the community, the broader network of the Presentation Sisters and external organisations the Presentation Sisters work closely with. The Administration Assistant will be required to exercise initiative, discretion and judgement in this regard, keeping the Leader briefed on all matters while having the ability to work independently.
The Administration Assistant will be the office’s first point of contact. The person will be required to manage meeting arrangements, meeting papers, prepare draft correspondence and manage the Leader’s diary, while ensuring all matters, emails and telephone calls are dealt with in a timely and efficient manner. The Administration Assistant will also be required to maintain Minutes and records of meetings, manage action lists, maintain files, monitor ongoing matters and ensure they are followed through to completion.
This role is a part-time position, 25-30 (negotiable) hours per week over 4 or 5 days. The position is based at the Presentation Sisters’ office in Lismore which is the administration centre for all the Sisters.
The Person
Key to success of the Administration Assistant will be the person’s attention to detail, proactive nature, initiative, good judgement, organised approach to work, and their ability to deal with senior leaders on complex and sensitive matters.
The Administration Assistant will possess the following knowledge, skills and experience:
- Respect for, and upholding of the ethos and teachings of the Catholic Church and the values and mission of the Presentation Sisters.
- Demonstrated experience as an administration assistant.
- Relevant tertiary qualifications.
- Excellent knowledge in the use of Microsoft Office applications – Word, Excel, PowerPoint, Outlook and also Publisher.
- Excellent writing and typing skills
- Strong interpersonal and communication skills.
- Excellent organisation skills with a focus on attention to detail.
- Ability to act with discretion, and maintain high standards of confidentiality.
- Ability to work co-operatively in a small team environment.
