Administration Assistant working in a Team environment reporting to the General Manager the responsibilities will include but not limited to:

  • The Company operates an ERP system and the ability to develop/expand computer skills is essential.
  • Managing incoming calls, assisting with enquiries and directing calls to appropriate staff members in a courteous and friendly manner
  • Process of sales orders, delivery dockets for outgoing finished products and invoice process
  • Raise purchase orders vendors, confirming availability and lead time
  • Performing day-to-day logistics operations and the timely delivery to customers
  • Maintaining high quality standards, adhering to quality principles and internal operating procedures
  • Monitor inventory levels
  • Investigate and reconcile stock variances and discrepancies
  • Other related duties not limited to the above

After developing satisfactory competency the role may be expanded to include

  • Prepare work orders (print, attach drawings and other associated documents via the Planning System)
  • Interact with manufacturing personnel on planning issues
  • Review work orders
  • Other related duties not limited to the above

Preferably having experience (depending on capabilities) in a manufacturing environment and administration, you will have a full understanding of inventory/manufacturing function as well as possess the following skills:

  • High level of accuracy, attention to detail, excellent communication, numeracy and literacy skills
  • Able to work independently as a self-starter and self-motivated with good work ethic
  • Good organisational skills with the ability to time manage and meet deadlines
  • Able to communicate effectively to staff at all levels
  • Proficiency in MS Office in particular “Excel” and “Word” and efficient typing speed with a high level of accuracy
  • Pro-active and self-starting with an ability to exercise appropriate levels of judgment and initiative
  • A good writing and problem‐solving skills
  • Ability to comprehend, interpret and re-write documents in a professional manner.
  • Display first class organisational, priority setting and decision making skills to ensure outcomes are achieved within deadlines.

This role involves working in a small team, responding to customer requests in the manufacturing industry. We expect the successful candidate will develop skills and grow into the position with Training and Supervision

The position will be 38 hours with the view of full time employment after an initial 3 month period. Remuneration will be negotiated based on entry skill level.
