Our client is a locally owned business specialising in providing high quality plastering and associated services to a wide range of large multi-national companies and government agencies.

About the role

A newly awarded contract in the Grafton area commencing imminently has necessitated the need to appoint a suitably qualified and/or experienced Office Manager for the duration of this contract, expected at this stage to be for an 18 month period.

This role will be diverse and the successful applicant will be expected to perform a number of varying duties encompassing administration, purchasing, health and safety and some basic payroll related functions.

Skills and experience

Your Background

Having already worked in a similar project management and office manager role, you will possess the people and organisational skills required to deal with staff, suppliers and Management alike. 

 

Detailed Job Specifications and Requirements:

Assistance with new site set-up

  1. Setup of new work site including office, communications, furniture and hardware
  2. Arrange suitable long-term accommodation for the tradesman including attending to application paperwork, inspections and feedback/recommendation reports to the Director
  3. Attend to any requests pertaining to the rental accommodation including cleaning requests, arranging periodic yard maintenance, utility connections etc.

Personal Assistant tasks to Director

  1. Suitably arrange site visits, travel and accommodation bookings etc. for the Director in relation to this project
  2. Arrange and diarise meetings as per his request and ensure timely reminders and follow-ups are sent

Health & Safety

  1. Assist with any Health & Safety documentation, applications and/or requirements that may arise
  2. Attend daily/weekly safety meetings and ensure key points and actions are minuted and distributed to all interested parties

Purchasing

  1. Prepare suitable purchase orders based on Management advices and requests utilising QuickBooks Online;
  2. Distribute purchase orders to relevant suppliers and perform necessary follow-ups;
  3. Physically check delivered stock and items to delivery notes;
  4. Liaise with suppliers on delivery discrepancies and update purchase orders where required
  5. Arrange suitable transport where required

ACONEX – Project Management Software

  1. Continuous updating of the software with required changes
  2. Upload drawings and other related correspondence as per the directive of Management
  3. Ensure all actions are attended to by their due dates and frequently provide updates to Management on any approaching deadlines
