Chinese company/office administrator for a marketing firm
Access CN is a professional China Marketing and Consulting Firm which helping Australian and international brands to link with local Chinese community and overseas Chinese market.
As a company with reputation in the market, Access CN is now having a fantastic opportunity for an experienced PA and office administrator to join our Australia head office based in Sydney.
About the Role
Reporting to the directors and company secretary, communicate with colleagues and external suppliers, you will be responsible for managing agendas for colleagues and daily operations for office.
It is important that the successful applicant will embrace company culture while contributing their own flair and experiences to assist the company's management.
Key Responsibilities
- Act as the main point of contact for directors and company secretary and provide varying levels of Administrative support
- Awareness of priorities of the directors and balancing these with requests for their participation or availability by others
- Handle incoming enquiries or requests
- Daily management and coordinating necessary appointments/scheduling whilst managing varying priorities
- Prepare and distribute Meeting Agendas and Minutes, and follow up with any required actions
- Arrange ancillary support for events such as co-ordination of meeting rooms, catering, agendas, guest speakers and technical facilities
- Co-ordinate travel, hire car and associated arrangements on behalf of Senior Management personnel
- Preparation of internal and external stakeholder and industry presentations including binding and professional finishes as needed
- Manage general maintenance of the office – stationery supplies, kitchen supplies etc.
- Organise and plan for special occasions – staff birthdays, anniversaries, holidays etc.
- Gain a working knowledge of various aspects of the Administration function in order to provide support to other Administration team members during times of absence or heavy workload
- Recognition of matters of a highly confidential nature and ensure that this important aspect is adhered to
Key Requirements
- Mandarin speaker essential
- Degree educated in relevant Marketing, Business, or Communications discipline is desirable
- 3+ years of previous PA/EA/OA experience preferable
- Excellent management skills and the ability to cope with multiple changing schedules
- Extremely well-organised and able to multi-task, juggle workloads and meet strict deadlines
- Advanced knowledge of Microsoft Office
- Familiar with Chinese social media, e-Commerce platforms etc.
- Excellent English communication skills, both written and oral
- Shows great Initiative
- Maturity to handle a range of situations
- Loyalty and a high level of confidentiality
- Looking for long term career progression
