National legal practice requires an Executive Administration Assistant with five (5) plus years’ experience to assist the directors and management team in the Sydney Office. 

Experience in a Legal office is preferable however not essential.  Our firm has ISO 9001 accreditation. 

The successful applicant will be working with a highly organised and skilled team.  We have a relaxed yet highly professional atmosphere.

This is a long term permanent employment position for the right person.

We are looking for a well-spoken and experienced executive administration assistant to assist in a busy law practice with the following experience and attributes;

  • Experience of 5 plus years in an executive assistant role
  • Experience and confidence working with directors, client representatives
  • Flexibility in approach 
  • Appropriate keyboard skills
  • Ability to prioritise work and handle multiple tasks or assignments
  • Work unsupervised while maintain commitment to deadlines
  • Willingness to embrace technology
  • High levels of integrity and discretion with a corporate outlook
  • Understanding of quality processes and procedures
  • Excellent communication’s skills both written and verbal
  • Impeccable attention to details
  • Actively support the firm’s vision and strategies including promoting change
  • Ability to understand professional pressures and remain resilient under these circumstances maintaining a calm and composed approach

The position description contains tasks that require experience in dealing with a wide variety of people and cultures as well as ad hoc tasks and administrative duties. The successful applicant will have a willingness to undertake both equally. 

Your tasks and duties will consist of but not be limited to;

  • Email monitoring, management and allocation to appropriate team member
  • transcription typing
  • Client correspondence and amendments to documents
  • Preparing Briefs to Counsel
  • Assisting in document indexing
  • Assisting in file management, including E-filing
  • Director diary management for court dates and meetings
  • Assisting in opening and closing files
  • Taking detailed messages and ensure they are issued to the relevant person
  • Manage and arrange meetings including diary management to ensure no conflicts occur
  • Arranging meetings over multiple time zones
  • Organising team meetings and events
  • Travel management
  • Assisting the Directors with personal diary management and scheduling
  • Assisting the Directors with ad hoc administrative and other tasks
  • Assisting the Practice Manager with administrative task for ISO 9001 quality assurance
  • Assisting the Practice Manager with reports for marketing and Surveys
  • Assisting the Practice Manager with administrative tasks as required
  • Assisting the HR Operations Manager with administrative tasks as required
  • Assisting the HR Operations Manager with facilities and IT needs as required
  • Assist in organising functions and CLE training sessions
  • Administrative duties or tasks as required

 The following experience would be highly regarded but not essential as full training will be provided:

  • Legal Experience
  • Lexis Nexis Affinity
  • Quality Assurance
