We are currently recruiting for an Administrative Assistant to join our corporate head office based in Rhodes, NSW. This is diverse role where you will be responsible for supporting several departments including; receptionists and Executive Assistants with administration tasks as required.

Primary duties include, but are not limited to the following:

  • Greeting visitors upon arrival; showing visitors to meeting rooms and offering refreshments.
  • Ensure front of house meeting rooms and reception area are kept clean, orderly and stocked with necessary stationary, kitchen items and refreshments.
  • Provide general administrative and clerical support to office management including, mailing, scanning, faxing, copying and binding
  • Prepare and modify documents, including correspondence, reports, drafts, memos and emails.
  • Set up for monthly Executive meetings.
  • Assist and fill in for the Receptionist.
  • Organise various office functions in liaison with Executive Assistants or other nominated departments.
  • Organise catering for office functions and meetings upon request from office staff.
  • Ensure maintenance of office printers; change consumables and order supplies when needed.
  • Process corporate purchase orders utilising SAP; ensuring authorisation by appropriate Management accurate coding within the system.
  • Review corporate invoices in Basware; ensuring accurate coding within the system.
  • Schedule and coordinate meetings, appointments and travel arrangements.

  • Previous experience in a customer facing role
  • Previous experience performing administrative tasks
  • Experience in using MS Office software
  • High degree of self-initiative and a willing to help attitude

Desirable skills:

  • Experience using Bassware and SAP system
