SUMMARY
Hours: 16 hrs / week negotiable (preferred over 4 days, eg, 10am – 2pm)
Duration: Permanent part-time
Location: Law School Building, North Terrace, University of Adelaide
Responsible to: Executive Director
Salary: Level 5 Clerks - Private Sector Award 2010 ($50,250 pro rata) + superannuation + generous salary packaging available
ABOUT JUSTICENET SA
JusticeNet is an independent, not-for-profit organisation that provides pro bono (free) legal assistance to low-income and disadvantaged clients. JusticeNet works with a network of lawyers to help hundreds of clients annually who cannot afford a lawyer or obtain legal assistance elsewhere.
ROLE
The primary function of this position is to provide general administrative support in a small team environment in order to facilitate the efficient and professional operation of JusticeNet’s legal services.
ACCOUNTABILITY, SUPERVISION & SUPPORT
The Office Administrator is responsible to the Executive Director and works closely with the Referrals Solicitor and Migration Solicitor. The position involves dealing with confidential client material and requires the highest levels of confidentiality and integrity.
DUTIES
Legal Office Administration
- Maintaining office filing systems
- Updating contact and membership databases and mailing lists
- Maintaining office inventory and stationery
- Monitoring the admin email account
- Mail in/out (including major mailouts)
- Drafting generic correspondence
- Formatting letters and documents using Microsoft Word and Office software
- Assisting in the organisation of meetings and events
- Data entry and record keeping
- File opening and closing
- Liaising with the Law School on administrative issues
- Liaising with JusticeNet’s bookkeeper/accountant
- Executive support to the Executive Director as requested
Volunteer Coordination
- Recruiting, rostering and coordinating office volunteers/interns (under the supervision/support of the Referrals Solicitor & Migration Solicitor)
- Providing telephone reception support (when volunteers unavailable)
SELECTION CRITERIA
ESSENTIAL
- Excellent organisational skills and proven ability to provide high-level administrative support in a small office environment
- Ability to work independently, to take initiative, to prioritise and manage your workload, and have attention to detail
- High-level of computer literacy using office software (especially word processing, email, spreadsheets)
- Excellent communication skills (written and verbal)
- Strong interpersonal skills and ability to work as part of a team
- An interest in and commitment to access to justice issues and JusticeNet’s stated objects and values
DESIRABLE
- A relevant qualification, or paralegal / legal secretary experience
- Experience working in the not-for-profit/community sector
