About the business

ICCPM is a not-for-profit membership organisation that provides practical solutions to individuals and organisations to effectively manage complexity in project environments.

About the role

We are looking for an experienced and highly capable administrator to join our small team in Canberra to manage our business operations including HR, IT, contracts, training and accounts.  This is a key role in the organisation and the successful candidate will be required to work closely with the ICCPM team and develop effective relationships with partners, members, suppliers and key external organisations.

Responsibilities include:

Accounts management:

  • accounts receivable, accounts payable and payroll using MYOB
  • monthly IAS and quarterly BAS
  • manage bank accounts and cash flow
  • prepare financial plans, budgets and reports
  • coordinate annual audit.

Business management:

  • Assist with establishing and maintaining business planning and reporting requirements
  • Develop and document business processes/practices
  • Oversee the development and review of policies and procedures
  • Collate monthly report to board
  • Oversee office IT and manage IT related maintenance with service providers
  • Coordinate recruitment and induction processes for new staff, coordinate performance review schedules and ensure personnel records are kept up to date
  • Manage and develop direct reporting staff.

Secretariat for the Board of Directors

  • Coordinate meeting schedule, prepare agenda and collate documentation for quarterly board meetings and annual meeting
  • attend board meetings (out of business hours) and take minutes
  • circulate correspondence and documents as required
  • prepare annual report.

Contract administration

  • Maintain contracts register and ensure records are kept up to date
  • Liaise with clients and contractors as required

Some out of hours work is required for quarterly board meetings.

Skills and experience

To be successful in this role you will be an experienced and highly capable administrator with a proven track record in working in a complex and fast paced environment.  You will be diligent in delivering to time frames and deadlines against agreed objectives in light of changing priorities - a flexible approach and attitude is essential in our dynamic organisation.

Selection Criteria

  1. Demonstrated ability to manage the operations and accounts of a small business.
  2. Well developed and accurate computer and keyboard skills including MYOB and Microsoft Office - Word, Excel, PowerPoint and Outlook.
  3. Excellent attention to detail.
  4. Integrity and honesty.
  5. Excellent interpersonal skills, both written and oral, including the ability to liaise and negotiate effectively, establish positive working relationships and relate to a diverse range of internal and external stakeholders.
  6. The ability to provide exceptional customer service and the desire to create a great working environment for staff to ensure the smooth operation of the office.
  7. Proven ability to work flexibly in a team environment, establish priorities, independently meet deadlines and deliver operational outcomes.
  8. Excellent organisational skills and the ability to interpret and formulate policy and procedures.

In addition, you will have an interest in developing an understanding of complexity and an alignment with the ICCPM philosophy.

Qualifications in business, finance or operations management and/or experience with Commonwealth contracts would be an advantage.
