About the business and the role

This role is being advertised as and will be filled initially as a part-time role.  2 days per week.  4 to 8 hours per day.

The ideal candidate will be someone that, as the role evolves, will be able to transition into a full-time position up to 38 hours per week.

Abacus Security Services, is a rapidly expanding provider of specialised security guard services across NSW. Our extensive list of clients includes Government infrastructure projects, Federal infrastructure, International Embassies, commercial construction, boat marinas, medium scale family friendly events and private functions.

As the Managing Director, I am looking for someone to fill an exciting and dynamic role, reporting directly to myself. The candidate must be able to think on their feet, work autonomously, take charge of any task given to them, have a never say die attitude, and be able to think well outside the box. In short, this person's main objective is to alleviate the administrative, clerical and compliance pressure I currently tackle each day.

Abacus is a big family and this person will play an integral role in it. We all work together to protect assets, people and save lives. The successful candidate needs to understand the work done by them has immense implications and they will be required to keep it at a consistently standard and be accountable for it.

Job tasks and responsibilities

On a day to day basis, the successful candidate will be:

  • Answering phones
  • Running errands for the Managing Director
  • Liaising with clients, guards and customers
  • Responding to emails
  • Making tea and coffee
  • Basic quoting 

Other instrumental tasks will include:

  • Managing subcontractors
  • Managing the office
  • Liaising with tenants of our office space
  • Maintaining a vehicle register and managing vehicle servicing
  • Maintaining Uniform and equipment registers
  • Uniform and equipment stocktakes
  • Maintaining key and lock registers
  • Quarterly supplier reviews
  • Maintaining guard registers
  • Managing guard internal and external inductions
  • Creating online forms
  • Maintaining the Abacus Intranet
  • Formulating Administrative SOP's

In some exceptional circumstances you will be required to:

  • Take equipment out to site urgently (possible)
  • Work extended hours (very seldom)
  • Work a weekend, public holiday or even NYE (unlikely)

 

Skills and experience

The candidate must:

  • Know their way around an Apple Mac computer
  • Be able to navigate easily through online software applications
  • Have their own car and a current driver's license
  • Be able to prepare a spreadsheet and word document

Some knowledge of the following software is preferable, but not essential:

  • Gmail For Business (Now G-Suite)
  • Hangouts
  • Deputy
  • Google Sites
  • XERO
  • Google Drive
  • Docusign
  • Prosperworks
  • Trello
