Diabetes Australia is the national peak body for people affected by all types of diabetes and those at risk. Diabetes Australia is committed to reducing the impact of diabetes. We work in partnership with diabetes health professionals and educators, researchers and healthcare providers to minimise the impact of diabetes on the Australian community.

Diabetes Australia has managed the delivery of the NDSS in partnership with successive Australian Governments since its inception in 1987.  A new, four-year agreement was signed in May 2016 whereby the Government committed $174 million funding to Diabetes Australia for the NDSS through to June 2020.

Diabetes Australia is looking for an Executive Support Officer to assist the General Manager of Diabetes Australia in administration of the National Diabetes Services Scheme on a full time basis. Diabetes Australia has interred into a funding agreement with the Commonwealth, which expires on 30 June 2020. Accordingly, the position is not currently funded beyond 30 June 2020. This role requires the successful applicant to have experience in executive support and strong communication skills.

Key Responsibilities

  • Proactively support the General Manager
  • General diary, telephone, meeting papers and office management tasks
  • Maintain the Schedule of Meetings with Key Stakeholders and provide timely reminders to all parties
  • Ensure projects and related tasks and actions are started and completed within required timeframes, and are recorded on the appropriate deliverables trackers
  • Prepare and/or contribute to a wide range of documents within short time-frames including agendas, meeting papers and minutes
  • Coordinate the development of key reports as well as agendas, minutes and associated papers
  • Manage NDSS reporting templates to ensure currency, quality and timely completion by responsible parties
  • Edit and proof read written materials to ensure technical accuracy, alignment with branding, current template and appropriate style for intended audience
  • Research and provide relevant information for a broad range of purposes and projects
  • Coordinate travel requirements and ensure compliance with policy
  • Perform purchasing, invoicing, receipting as required

Skills & Experience Required

  • Cultivates collaborative and productive working relationships with internal and external stakeholders
  • Demonstrates professional confidentiality and diplomacy
  • Ability to work independently, prioritise competing demands and quickly shift focus
  • Ability to synthesise large volumes of data into succinct and technically proficient written documents for a broad range of purposes and audiences
  • Proficiency in Microsoft Office suite, particularly Word, Excel and PowerPoint
  • Critical thinking and problem solving
  • Proactive in approach with the ability to meet deadlines
  • High level communications skills, both oral and written
  • Intermediate skills in MC Office, in particular Excel, and database application management (preference with experience in Microsoft Navision or similar is highly desirable).
  • Experience in health sector is highly desirable.
