Bedford CA, a Chartered Accounting firm located in a prestigious new office in North Sydney has a fantastic opportunity for a 2IC Receptionist and Administration Assistant.

Having existed for 70+ years, we are a firm of 65 people of all ages. We are high-performing and fast paced with a welcoming, down to earth culture.

This is a full time role supporting the Receptionist as the face of the business in our busy front of house. You will also be required to assist the Accounts Assistant and Internal Accountant/Office Manager with basic accounting and administrative tasks.

  • Excellent communication skills, both written and verbal;
  • Data entry skills with a high level of accuracy;
  • The ability to multi-task;
  • A strong work ethic;
  • Be friendly, courteous and well presented;
  • High level of focus and attention to detail;
  • Excellent organisational skills with a proactive approach to your work;
  • Willingness to help and to take on any task;
  • A very clear understanding of the need for confidentiality. 

Duties and responsibilities are as follows;

  • 2IC Reception - sitting at reception you will provide support to the head receptionist and assist with all aspects of reception when required, including:
    • Greeting clients;
    • Answering calls professionally and promptly, transferring calls and taking accurate telephone messages;
    • Managing the booking of meeting rooms;
    • Manage/keep reception, meeting rooms, boardrooms, client lounge and kitchen clean, tidy and professional at all times;
    • Providing tea, coffee and catering for meetings;
    • Booking couriers and preparing outgoing mail;
    • Assisting with any tenancy issues and attending to minor repairs.
  • Accounts and Administration:
    • Daily processing of client payments (Cheque, EFT, Bpay and Credit Card) and balancing daily banking;
    • Assisting with invoice/debtor enquiries from clients or employees;
    • Assist with month end reporting and reconciliations;
    • Prepare and email monthly debtor statements and invoices;
    • Monthly billing;
    • Stationery - Ordering and monitoring of general office stationery, Bedford CA branded stationery (letterhead, envelopes, business cards etc.), ATO forms, toners and staff amenities.
