About the role (includes but not limited to):
We currently have an excellent opportunity for a Facilities Administrator based in ACT who will be responsible for managing and maintaining various data sets and configuration tables within our integrated information systems platform and processing of transactions that relate to the portfolio operations.

Key responsibilities will include:

  • Creation and ongoing administration of routine maintenance plans within the management information system as instructed by the facilities management team.
  • Generation of work orders within the management information system for routine maintenance and minor works requests.
  • Processing work order updates to facilitate the payment processes.
  • Reviewing vendor payment claims and invoices, completing validation checks and recommending for payment.
  • Liaising with vendors on payment claims and invoices that do not comply or contractual with company requirements.
  • Creation and ongoing administration of data within the management information system including creation of new properties, mapping of vendors to the properties they service and creation of fixed plant and equipment records.
  • Management and reporting on environmental performance data within the management information system.
  • Supporting the Facilities Management Team in the overall management of the property portfolio and of the subcontractor database.
  • Identifying improvements to processes which enhance performance in the areas of cost, quality, safety and customer service
  • Guaranteeing 100% commitment to protecting sensitive information and ensuring all services adhere to security, compliance and legislative requirements

Required Skills, Qualifications and Experience

  • Work experience within a similar Administrator role.
  • Excellent time management skills.
  • High levels of attention to detail.
  • Ability to work with and interpret large volumes of data and invoicing.
  • Intermediate to advanced MS Excel.
  • Prior experience in data and systems maintenance management.
  • Exposure to corporate real estate or facilities management desirable but not essential
