Tenders Coordinator / PA

About the Role:

Our client is seeking an experienced, organised, proactive and hands-on person to provide support for the General Manager and to manage administration aspects of our commercial tenders operations.

This is a busy role which will require someone who can build strong relationships and can adapt easily to constant changes and challenges.

Working under the direction of the General Manager your day to day duties and responsibilities may include:

  • Assist in the accurate and timely preparation of tender estimates, tender schedules, programs and other items required for the tender submissions.
  • Manage request for pricing and return quotes being generated by the commercial team
  • Creating, coordinating and managing tender bid timelines and quality expectations in document preparation and tender submission
  • Organise meetings, preparation of agenda's, minute taking and follow up of action items
  • Responding to enquiries from clients regarding the status of current jobs
  • Maintain all electronic filing of correspondence, policies, procedures and related material
  • General clerical and administrative responsibilities that may arise
  • Managing the General Managers’ daily schedule and calendar and inbox management.
  • Provide all necessary operational support to the General Manager

What you will need to succeed in this role:

To be successful in this position, applicants must address the following key selection criteria and demonstrate that they have the following skills and experience:

  • Minimum 3 years’ experience in tender submission within Engineering and or Construction industry.
  • Proven ability to prepare professional reports and business correspondence.
  • A strong track record of delivering quality support and being outcome driven, previous Executive Assistant experience is desirable
  • Attention to detail and ability to maintain a high level of accuracy
  • Good self-organisational skills and time management skills, with the ability to set objectives, prioritise tasks and meet deadlines
  • Ability to maintain a high level of discretion and confidentiality
  • Sound decision making skills
  • Advanced Microsoft skills
  • Excellent and written communication skills
