The Role:
The role is a hugely varied role with significant accountabilities across general and financial administration, personnel logistics, secretarial support and ad hoc or project-based tasks.
Key duties include:
- Arranging, managing and coordinating travel and accommodation for personnel across the three separate sites
- Maintaining the mobilisation plan and leave management system
- Coordinating staff training and development, plus various other staff activities
- Conducting orientation programs and on boarding for new employees
- Organising Switch One and One Team Forums (Including Venue Hire & Catering)
- Preparing meeting agendas and minutes
- Data processing and report creation
- Monitoring expenditure and inventory controls
- Maintaining and managing servicing of Vehicles, tools and equipment
- Receiving and recording invoices and arranging payment
- Preparing expense claims
- Admin support as required to HSSE department
- Required to use independent judgment in completing activities, operating under general supervision
- Also acted as an administrative liaison officer with internal and/or external contractors
- Always followed required policies and procedures to ensure compliance with internal controls
- Performed other related duties or special projects as directed
Requirements:
- Good organisation skills
- Clear communicator- both written and verbally
- Be a Proficient user of the Microsoft Office suite of programs including Word, Excel, PowerPoint, Publisher and Outlook.
- You will also be able to physically carry out Weed & Seed’s on Vehicles, if required.
