Quay Appointments is recruiting for a contract position with one of our Government clients.

Primary Purpose:

The Project Support Officer is responsible for performing day-to-day project management, operational and administrative activities to support project specific and ongoing team related objectives. This includes developing and managing efficient project management and administrative systems and processes to support effective time management and liaison on behalf of team members and ensure co-ordination of meetings, briefs and reports.

Key Accountabilities:

  • Provide project management services to the team, including monitoring and reporting on project budgets and project progress, following-up on project 'action' items and commitments, and preparing information content for project communications for use by the Director and other team members.
  • Maintain the project's physical and electronic filing systems, including version and release management controls for all 'baseline' project documents. Prepare, maintain and administer project and finance related records ensuring each records remains aligned with the Project Management Methodology.
  • Organise meetings for Director and team members, including booking venues, sending invitations, preparing agendas and meeting documentation. Managing engagement of resources and any necessary paperwork. Maintain Director’s and team diaries including arranging travel and monitoring and managing the urgency of and appropriate diversion of incoming calls.
  • Provide high level administrative support to the Director and team members including the preparation of confidential briefing notes, Ministerial and memoranda to ensure completion within specified timeframes.
  • Coordinate the preparation of correspondence, briefing notes and reports in relation to specific projects, initiatives and issues
  • Assist the Director Program Management Services to monitor the progress or program/projects and against key performance indicators and measures and report on status of key programs and projects that are being delivered by, or on behalf of, the Division
  • Contribute to achieving effectiveness of Managers and team members by identifying, prioritising and determining urgency of the critical issues requiring attention and support.

Selection Criteria:

  • Demonstrated experience working co-operatively in providing a team with high level administrative and project delivery support.
  • Capacity to implement administration and project delivery processes, procedures and instructions, document control, and records management systems and processes.
  • Demonstrated problem solving, research and analytical skills and capacity to present information and data in a logical and coherent manner.
  • Strong oral and written communication and negotiation skills and ability to support management and team members by exercising discretion, confidentiality and initiative when liaising with representatives from both the public and private sectors.
  • Time management, planning and organisational skills including the ability to organise and prioritise own work and assist in the efficient management of team member’s time.
  • Desktop, computing and email skills for writing, recording, reporting and presenting including the use of Microsoft Office applications, particularly, Word, MS Project, PowerPoint and Excel.
  • Must have HR knowledge or experience working in this environment
