An immediate opportunity for an experienced Executive Assistant with experience in large public hospitals supporting the Medical Director and his operational day. Our client has a strong emphasis on collaboration and multi-tasking with a number of stakeholders, so being agile and the ability to manage a number of competing demands in a fast paced environment is key.

The Role:

  • Provide administrative support to the Director, Unit Managers and Clinical Support teams
  • Extensive diary and meeting coordination
  • Screening calls and distribution to appropriate staff
  • Managing email, phone and written communication
  • Accurate data entry, updating information on the database
  • Generating letters and preparing medical rosters
  • Preparation of medical rosters, roster swaps and replacement for sick leave
  • Preparation of agendas, minutes and reports
  • Maintain asset register and equipment repairs
  • Maintenance of stock in clinical areas and stock replenishment
  • Coordination of recruitment and interviews
  • Preparation of orientation packs, badges and uniforms

Skills required to successfully fulfil the role:

  • At least 2 years previous experience in a similar role supporting C-Suite level or Senior Management
    (preferably in a large hospital)
  • Experience working in a complex fast paced environment supporting multiple stakeholders
  • Previous experience in Health Roster, Staff link and Oracle (advantageous)
  • Intermediate to advanced skills in MS Office suite, Word, Excel and PowerPoint - essential
  • Exceptional presentation, stakeholder management skills with a excellent interpersonal skills
  • Exceptional organisational skills and an attention to detail
