IPA are a leading supplier of recruitment solutions to the NSW Government. We are in search of an Executive Assistant to join the team at one of Sydney’s Governmental Departments based in the Inner West of Sydney.
The Executive Assistant provides high level executive, project and administrative support and advice to the Executive Director, in order to support the informed decision-making and overall leadership and management of Corporate Services. Previous Governmental experience would be advantageous. Key accountabilities will include:
- Provide high level executive, administrative and project support to the Executive Director in order to contribute to efficient business operations
- Ensure that the Executive Director is kept fully informed of critical matters affecting the business by providing timely, reliable advice on strategic, sensitive or complex issues across all business functions.
- Provide high quality executive support, including word processing, electronic diary management, minute taking and secretariat functions , file maintenance, database management, ordering of stores, filing, photocopying and faxing, travel arrangements & conferences
- Reconciling P-Card and processing SAP Payments
- Facilitate and screen the efficient flow of information to and from the Executive Director by exercising discretion, initiative and confidentiality in responding to and referring matters to and on behalf of the Executive Director
- Contribute to the Executive Director’s optimum use of available time by coordinating, planning, organising, and prioritising work commitments
Selection criteria include:
- The ability to provide support to the Executive Director to ensure consistency in support services and quality of correspondence through drafting and coordinating briefing notes, presentations, cabinet minutes and ministerial briefings
- Excellent MS Office skills and ability to quickly learn new processes quickly
- Proven ability to prioritise competing tasks
- Confidence when dealing with difficult stakeholders
- Team player with excellent written and verbal communication skills
- Previous experience gained from a Governmental Department and the use of SAP and TRIM would be highly regarded.
