As our EA and Office Manager you will have a broad scope of responsibilities including:

  • Supporting ANZ Leadership Team
  • Coordinating Leadership Team group meetings (Sales Meeting, Forecast Calls)
  • Internal team meetings (QBR & offsite QBR’s, Territory Reviews etc.)
  • All Hands content coordination
  • Hosting global executives in Sydney
  • Internal event coordination – Quarterly.
  • Assisting with Customer/Partner events – VeeamON etc.

Responsibilities - ANZ LT

  • ·1:1 meetings
  • Calendar management for individuals – Leadership, ANZ & APJ
  • Personal meetings
  • Expenses
  • Travel management
  • Lunch / coffee runs – catering requests need to go to new Office Coordinator in advance International restaurant bookings (utilise local teams across region for this)
  • Travel bookings – international only
  • Booking meeting rooms – to be managed via outlook calendar. Coordination for Board Meetings
  • Assist in preparing presentations, reports, briefs and other documentation.
  • Event management for some marketing activities
  • Office administration duties.
  • Reception duties to include greeting visitors.
  • General housekeeping duties to include Coles food shop – online
  • Dealing with queries or requests from the public and employees.
  • Ensuring that common areas in office premises are equipped with required office supplies as appropriate.
  • Organising catering for meetings and office events.
  • Organising office events – onsite/offsite.
  • Assisting with planning of meetings including catering and greeting guests at the front desk
  • Booking meeting rooms for employees/managers.
  • Monitoring the use of equipment and supplies within the office
  • Stationary order - Placed monthly.
  • Coordinating the maintenance and repair of office equipment.
  • Liaising with building manager around any issues that arise on site to ensure attended to and fixed.
  • Receiving and sorting out e-mail and deliveries.
  • Additionally from time to time involvement in ad hoc projects

To be considered for this opportunity you will be an experienced as an Executive Assistant having most recently supported a Leadership team. Your experience will not only lend to corporate EA support, but also to supporting wider executive team.  As well as supporting office administration duties.

This role is located in North Sydney.

This is a full-time position with the ability to negotiate hours once on board - 12 month Contract.

Qualifications and Experience.

  • Minimum 2 years’ experience in administration and customer service.
  • EA experience essential
  • Ability to work independently in a fast-paced environment.
  • Be open-minded, flexible, motivated and professional.
  • A high degree of computer competency in MS Office.
  • Possess strong interpersonal and communication skills.
  • Proven organisation skills, attention to detail.
  • Ability to take direction and show initiative.
  • Must be reliable, dedicated, quick learner and hard working
