We are currently seeking applications from experienced Divisional Support Officers to provide efficient and effective high-level management support services and strategic advice.
You will work assist in fulfilling Divisional responsibilities as the key communication interface between the Division and a wide range of key stakeholders (internal and external) to the Agency, managing day-to-day business of the office.
The role includes corporate functions and the ability to advise and respond to operational challenges in a coordinated, transparent and informed way.
Responsibilities will include, but not limited to:
- Direct enquiries and requests to the relevant areas and provide advice on documents and engagement opportunities requiring response
- Develop and maintain relationships with internal and external stakeholders as appropriate to your role and duties
- Coordination of procurement activities, including the payment of invoices
- Coordinate operational and administrative duties and tasksInitiate, track and resolve human resource issues
- Perform budget management functions for your Division (including monthly performance reporting – budget tracking; identify and take corrective action as necessary; research and consult)
- Facilitate the provision of messages and advice to your colleagues within the Division and wider
- Agency, and assist with the timely flow of documents for clearance
- Coordinate the end-to-end life-cycle of parliamentary document records across the Division using the prescribed processes and procedures for matters relating to Ministerial Briefs; Ministerial Correspondence; Ministerial Submissions; Parliamentary Questions on Notice; Question Time Briefs; Senate Estimate Briefs; Senate Estimates Questions on Notice; Executive Communications; Communication & Media and Agency Contributions.
To be successful for this role, you must have:
- Supervision/coaching experience
- Ability to lead a multi-disciplinary team, including developing staff and managing performance, and adapt quickly to a changing environment
- High level of competency in consistently applying assessment tools to identify support needs
- Work closely across teams (within the region or nationally) to manage service delivery performance
- Able to negotiate effectively by listening differing ideas and views to develop a clear understanding of the issues, and to present persuasive counter-arguments
- Exceptional experience in providing support for Executive Officers, Divisional Support Officers, Executive Assistants, Administrative Assistants of Senior Executive Staff across the Agency
- Highly developed ability to synthesise and analyse complex information and make decisions.
- Experience in professional writing or finance is desirable.
