You will be joining a global corporate advisory firm which specialises in energy and resources with a particular focus on South America. Our Brisbane team is amongst the most experienced in the industry with significant transactional expertise both in Australia and internationally.  

We are unique in our collaborative culture which allows for close coordination between our professionals around the globe and across various sectors and transaction types.

Due to significant workflow and the expansion of our team, we are seeking to employ an entrepreneurial office administrator /administration assistant who will assist with administrative duties relative to the transactions the firm is engaged on. Supporting our close knit and growing team this fast-paced role will include proactive diary management, office co-ordination, senior stakeholder and external 3rd party engagement, together with providing administrative support to the wider team. 

Your key responsibilities

·        Meeting arrangement – You will be making or coordinating meeting bookings and you will arrange audio/video conferencing, telepresence and/or online meeting for various team members.

·        Travel – You will be arranging and coordinating individual travel and on occasion group travel for various team members. You will be assisting in destination research, obtaining passport/visa documentation.

·        Translation – To support simple translation of documents with the assistance of other team members.

·        General administrative duties- You will be conducting general information search, preparing payment requisition forms, and seeking required approval/s for payment. In addition, you will be ordering office stationery and business cards printing, coordinating small projects providing cost effective solutions and working seamlessly with other team members whilst providing other ad hoc general administrative duties.

To qualify for the role, you must have

·        Minimum 1-2 years' experience as an Executive Assistant or in a team administrative role. 

·        Prior working experience in global professional services organization or mid-tier firms will be highly advantageous
