Purpose of the Role
As a Corporate Receptionist and Facilities Assistant your role is to focus on providing effective facilities administration and support to the Link Group business from a National perspective. You will assist with maintaining a dynamic & user friendly environment and facilitate the delivery of the best possible service levels.
This is a multi-skilled role involving; travel, building management, office accommodation and facilities, purchasing and administration.
Duties and responsibilities:
- Day to day reception duties
- Meet and greet all internal and external visitors
- Answering the phone and directing calls to the correct areas
- Coordinate staff travel requests by liaising with the Link Group external travel provider
- Manage all tenancy issues for all Link Group sites
- Liaise with building management and external service providers
- Co-ordinate all building maintenance services including air conditioning, electrical/cabling, cleaning, plants, security
- Responsible for issuing and terminating security passes to staff and visitors
- Maintain staff location list
- Assist with internal relocations
- Manage office facilities by providing recommendations and organising purchase/lease/maintenance of office furniture and equipment, courier services, cabcharge, printers etc
- Arranging payment of invoices for products & services and ensuring appropriate cost centre allocation for all costs
- Ad hoc administration as required

Ideal Candidate Profile:
- Previous experience in similar or relevant role
- Extensive administration experience
- Prior experience in corporate travel administration ideal
- Knowledge of office administration policy & procedures
- Exposure in building services & office accommodation
- Excellent customer service and communication skills, both verbal and written
