OVERALL PURPOSE

The primary purpose of the Course Co-ordinator is to work in partnership with relevant Colleges within Victoria University, central Victoria University Portfolios and the Education Centre of Australia to provide operational academic management of the student lifecycle through the relevant degrees, ensuring consistency in the application of Victoria University’s (VU) policies and procedures. VU Sydney offers the following postgraduate and undergraduate courses:

  • Master of Applied Information Technology - NMIT
  • Master of Business (Enterprise Resource Planning Systems) – BMES
  • Graduate Diploma of Business (Enterprise Resource Planning Systems) – BGEP
  • Master of Business (Accounting) - BMAK
  • Graduate Diploma in Professional Accounting (BGAP)
  • Bachelor of Business (Accounting & Information Systems Management) - BBNS
  • Bachelor of Information Technology - NBIT

The position is responsible and accountable for assuring the coordination of the postgraduate programs in information systems at the VU Sydney campus (NMIT). The key focus of the role includes but is not restricted to:

  • The leadership of the academic team responsible for the postgraduate program in information systems to assure adherence to VU academic and administrative policies and procedures
  • Teaching one or two units in the relevant discipline in information technology and/or information systems
  • Collaborating with academic staff to support and maintain a high-quality student learning experience
  • Collaborating with relevant parties across the organisation to support students’ developing academic skills and creating a positive student centred learning environment
  • Contributing to the administrative management of the courses as directed and collaborating productively with the VU Sydney student services department
  • Supporting a scholarly approach to learning and teaching commensurate with the level of appointment
  • Developing and maintaining a culture of collegiality in growing and managing a team of committed sessional academic staff

Victoria University Sydney is a campus of the University operated in partnership with the Education Centre of Australia (ECA), managed by Victoria University through campus-based senior management. Located in central Sydney, VU Sydney currently offers courses at undergraduate and postgraduate levels to international students.

The position of Course Co-ordinator reports directly to the Director, Learning and Teaching and shares responsibility for contributing to leadership and future direction of the Campus. The position liaises with other staff at VU Sydney, Education Centre of Australia (ECA), and Victoria University (Melbourne). The position requires a significant understanding of how universities operate, and the incumbent must have a sound understanding of higher education regulator policies and procedures.

 

EDUCATION CENTRE OF AUSTRALIA

Education Centre of Australia Pty Ltd (ECA) has been working in partnership with Victoria University since 2007 and is the employer of this position. Managed by a Chief Executive Officer, ECA operates four schools: English Language in Sydney (ELSIS), Zenith Business Academy (ZBA), Asia Pacific International College (APIC) and Professional Year Programs (PYP).

 

MAJOR CHALLENGES/FREEDOM TO ACT
This position is an important member of the Academic Services team of the Campus and is accountable for ensuring accurate advice is given to all stakeholders. Led by the Director, Learning and Teaching, this position operates independently of ECA and must follow all University’s policies, procedures and guidelines, locally managing compliance across student administration activities and events.

The major challenges for the position of Course Co-ordinator include:

  • Providing hhigh-qualityacademic program support to students and lecturers.
  • Ensuring Victoria University courses are offered in compliance with all legislative and quality requirements, particularly those prescribed by ESOS, The National Code and TEQSA.
  • Implementing Victoria University strategies for teaching according to established quality standards.
  • Maintaining a climate of collegiality and effective communication both within the Sydney Campus and across other Victoria University campuses and ECA.
  • Supporting the Director, Learning and Teaching with business plans, and implementing operational plans, strategies and projects.
  • Enhancing a student-focused, cohesive and capable Academic Services team that is agile, flexible and committed to a problem-solving approach in academic delivery.
  • Promoting a strong and positive academic culture.

This position is responsible for providing support and advice to the Director, Learning and Teaching to ensure the provision of efficient and effective management of student administration and advice services.

MAJOR DUTIES AND ACCOUNTABILITIES 

In performing the following duties, the incumbent is required to comply with quality assurance policies and procedures, and other relevant legislative requirements applicable to Victoria University.

The major duties include but are not restricted to the following key focus areas:

  1. Course Coordination and Academic Administration in particular:
    1. Assessing academic staff for sessional appointments and providing recommendations to the Academic Manager, and playing a major role in lecturer induction and professional development and support.
    2. Working with VU Transnational Education (TNE) Unit Co-ordinators, Site Co-ordinators and lecturing staff in the implementation and review of courses.
    3. Managing all aspects of the course delivery to the academic and quality standards set by VU.
    4. Attending and actively contributing to both internal and external meetings and committees as required by the Academic Manager. In particular, attending and contributing to fortnightly Academic Services team meetings chaired by the Academic Manager and participating in the membership of the internal VU Sydney Academic Committee.
  2. Teaching, Student Learning Support and Academic Progress
    1. Supporting a culture of student centred learning by taking a proactive approach to student support through regular meetings with students, in person and through VU’s standard communication channels. Providing timely feedback on assessment to support student learning, implementing early intervention strategies for students at risk and monitoring their progress according to documented policy. Liaising with the Learning Support Advisors for student development and progress is an important aspect of the role.
    2. Managing to a high standard the requirements of Assessment and Student Progress Boards (ASPBs) and preparing associated reports.
    3. Teaching in one or two units in a relevant discipline area of personal expertise negotiated with the Academic Manager.  
    4. Performing such other duties relevant to the classification of the role, as may be required from time to time as directed by the Academic Manager.
  3. Quality Assurance and Quality Improvement
    1. Assuring VU Sydney processes for quality assurance and continuous improvement across all academic functions are implemented and evaluated
    2. Working with the Academic Manager to develop, implement and continuously review an academic administration strategic plan that addresses student academic support requirements and is aligned to the VU Sydney Growth Strategy, the VU Strategic Plan and the VU Partnerships and Innovation Portfolio plans
    3. Ensuring academic staff maintain records (e.g. attendance) and complete prescribed requirements, including mid-session and end of session reporting cycles according to VU quality framework, policy and procedures 
    4. Working with support staff at all ECA and VU locations to ensure that the student academic experience matches the Campus promise and that early intervention occurs to support student success.

WORKPLACE AND CONDITIONS

Education Centre of Australia (ECA) works in partnership with Victoria University and is the employer of this position; however, the role operates independently of ECA by reporting directly to the Director, Learning and Teaching of VU Sydney. Employment is under contract with ECA and will attract a base salary, superannuation guarantee, and annual leave entitlements. The position is based at 160 Sussex Street Sydney until further notice.

 

SELECTION CRITERIA

Essential:

  1. A PhD or a professional doctorate in information technology, information systems, computer science or a related field. Experience of teaching Enterprise resource planning (ERP) technologies (ERP, SAP modules, HANA, or business analytics modules) would be a distinct advantage.
  2. Proven extensive management and academic leadership experience in course coordination at Master’s level; particular experience with international students will be highly regarded.
  3. Strong evidence of a commitment to student-centred learning, experience in the pastoral care of international students and demonstrated engagement with Victoria University’s values of access, excellence and respect and behaviours; engagement, collegiality, courage.
  4. Demonstrated experience in higher education academic administration and the ability to lead a range of quality assurance and academic compliance practices, preferably within an international educational setting.
  5. Outstanding interpersonal, oral and written communication skills, including the ability to interact productively with students and staff from culturally and linguistically diverse backgrounds.
  6. Comprehensive understanding of the full university student lifecycle, including academic administration (e.g. the development and monitoring of appropriate learning interventions, academic appeals and the management of academic progress). 
  7. Demonstrated experience in academic strategic and operational planning, projects management and resource management.
  8. Experience in high-level data analysis and preparing executive-level reports.
  9. Experience working with academic databases, learning management systems, electronic enrolment systems, spreadsheets, and other technologies for streamlining academic management.
  10. Demonstrated capacity to understand and comply with employer policy and practices in all aspects of work and conduct, including OHS and Anti-Discrimination responsibilities and complete/attend relevant training.
