Raymont Residential College (an activity of The Uniting Church in Australia, Queensland Synod) is seeking a Registrar to join our team.

The Registrar provides a highly pro-active, efficient and professional service that seeks and supports student inquiries, applications, enrollments and administration. This position also provides efficient and confidential administrative support to the Principal.

The Uniting Church in Australia is the third largest Christian denomination in Australia. In Queensland, the Uniting Church has around 250 congregations and has a number of schools, colleges and community services such as UnitingCare Queensland and Wesley Mission Queensland.

Raymont Residential College provides comprehensive support and services to over 100 university students residing within the College. While the provision of a high standard of services including catering and accommodation is essential, Raymont also seeks to build a warm community built on mutual respect while enriching the lives of our students through meaningful support programs.

The position’s key responsibilities include:

1. Provide a highly pro-active, efficient and professional Registrar service in support of student applications, enrollments and administration:

  • Manage a highly effective student application process from initial inquiry through to confirmation of a position at Raymont. This includes liaising with prospective students, parents, university accommodation cells and agents as well as managing the online application process.
  • Develop a comprehensive understanding of the student administrative system (StarRez) including all aspects relating to applications, enrolments, room management, student management limited account management and communication with students.
  • Undertake College promotions through attendance at Uni Open days, Career Expos and the conduct of College tours. Support the conduct of the College Open Day/s.
  • Plan, organise and manage the College Enrolment Day including close coordination with prospective students, families and College staff.
  • Coordinate multi-night group bookings at Raymont over the non-academic periods of the year.
  • Maintain a highly accurate prospective student database that includes a detailed record of inquiries and applications received each month. Be prepared to create a College waiting list as required.

2. Provide administrative support to the Principal in support of his daily functions:

  • Proactively manage the diary of the Principal to optimise tasks, meeting schedules, meeting information/documentation and workflow including providing adequate notice regarding future meetings and commitments.
  • Draft correspondence and manage all filing in accordance with policies and practises to ensure a high standard of documentation, confidentiality and control of document storage.
  • Support the planning and booking of regional school visits by the Principal.
  • Support the conduct of formal College functions including preparing invitations and coordination of RSVPs. These events include but are not limited to the Enrolment Dinner, Commencement Dinner, Valedictory Dinner and Parents Soiree.

3. Provide administrative support to UCA Synod staff:

  • Prepare identification cards for all Synod staff including the provision of FOB access to the Uniting Church Centre.

What do you need to be successful in this role?

  • Certificate IV in office / business administration or higher.
  • Undergraduate degree in related field would be an advantage
  • Advanced knowledge and demonstrated proficiency in contemporary computer software applications, including the Microsoft Office suite and Adobe Professional. Proficiency with StarRez would be of advantage.
  • It is critical that the successful applicant demonstrates a high level of communication skills in dealing with students, staff, parents, university staff and other stakeholders. This includes well prepared oral and written communication techniques so as to optimise student liaison and activity coordination.
  • Demonstrated reliability and proven ability to utilise a high degree of initiative and negotiation skills.
  • Medium level of experience in an administrative and organisational role within a medium sized organisation.
  • Experience in dealing with young adults, exposure to cross cultural environments and a demonstrated enthusiasm to work with tertiary students would be of advantage

Remuneration

Remuneration is based on an annualised remuneration under the Clerks Private Sector Award 2010 (Level 4).  The minimum annualised remuneration (exclusive of superannuation) for this position is $34,000 per year. Remuneration negotiations with the successful candidate will be within the applicable remuneration range.
