About the Role
The Program Contact Officer will be part of Student Services and will report to the Student Services & Campus Operations Manager. This position will form part of the Student Contact Team and be located within the Student Service Hub. They will be required to process all administrative and academic queries relating to a student's enrolment status. This role will have a direct working relationship with students and consult regularly with the Academic Program Coordinator within the Campus; along with the other members of the Student Service Contact Team. This role is integral to ensuring the student experience in relation to their program of study and all related academic queries are dealt with professionally and efficiently.
The role's main duties include:
- Assist with all academic processes associated with student enrolment.
- Prepare various administrative University documentation as required for various student enquiries.
- Process initial inquiry for credit applications, and liaise with students regarding outcomes
- Coordinate applications for student withdrawals, release requests, deferral of study applications, change in teaching location and all other queries on academic programs
- Be responsible for late enrolment students and assist in managing the associated paperwork to ensure the students are fully informed of their obligations.
- Deal with any student fee enquiries and all follow up related procedures.
- Assist with student timetable enquiries and changes
- Understand the referral process for any student welfare issues.
- Be the first point of coverage for the Student Contact Officer
- Administer, prepare, and arrange mid-term tests and examination processes in consultation with Academic Program Manager
- Prepare & participate in planning of the timetable
- Promote and encourage participation for student surveys – Internal ATMC surveys and SETAC
- Provide guidance and assist students to obtain University documentation, ie official letters, official academic records and ensure student contact details are up-dated regularly.
Liaise with India team regarding tasks and follow up when required.
Selection Criteria
- Relevant tertiary qualification
- Experience working in the international student tertiary sector
- Demonstrated experience in educational programs pertaining to student support services
- Proficiency with Microsoft Office including Word, Excel and Outlook
- Good administrative skills
- High level communication and interpersonal skills
- Understanding of relevant government policy (eg. ESOS Act)
- Advanced written communication skills
- Strong time management and organisational skills
- Ability to work effectively on individual projects and as part of a team
- Strong, positive focus on service to students
