We have a unique opportunity for a mature-minded and experienced Scheduler/ Planning Co-Ordinator with enthusiasm and passion to join our team. This position is an integral role reporting to the General Manager.

 Key Objectives & Responsibilities will include: 

  • Initial point of contact for client enquires, provide client updates ensuring they are responded to in a timely manner
  • Analysing planning and scheduling resource allocation for client contract requirements
  • Developing contingency plans, including accommodation bookings
  • Maintaining existing client profiles with all testing specifications and relevant information, including job requirements, summary of RTI staff deployed, contact details and reporting requirements
  • Ensure high quality and cost-effective scheduling and planning service is provided aligned to client requirements
  • Identifying and reporting schedule risks and issues
  • Participate in the tender preparation process
  • Ensuring auditing and compliance of existing clients data
  • Conduct regular audits and inspections to ensure compliance with the QMS
  • Maintaining all internal Client calculators for invoicing purposes
  • Collating and preparing monthly Client testing schedule data for Finance to invoice
  • Booking training / inductions/ medicals with a focus on minimising impact on testing schedules
  • Maintaining staff qualifications register and files to ensure currency
  • Developing and controlling documents as required for RTI’s Quality Management System 
  • Liaise with management and clientele to ensure success of the project
  • Operate within the framework of company policies and procedures

Required Experience and Competencies:

  • Demonstrated experience in planning, developing and managing schedules for multiple projects
  • Able to offer commercially minded solutions to resource allocation and scheduling
  • A high level of self-motivation taking responsibility for meeting objectives and progressing work within given timeframes
  • Strong stakeholder management skills with the ability to communicate effectively at all levels, both internally and externally.
  • Ability to demonstrate initiative with a proactive approach to continuous improvement
  • Minimum 7 years in a similar role
  • Exemplary customer service
  • Pro-active and inquisitive personality
  • Superior ability to problem solve
  • Ability to multitask, strong attention to detail, time management and understand time frames
  • Excellent computer skills, including proficient knowledge of Microsoft Suite (Outlook, Word, PowerPoint and Excel)
