About the Role

We are looking to fill two Equipment & Operations Coordinator roles to be based in our Sydney office. One role is on a full-time permanent basis, and the other for a fixed term contract to 31 December 2018.

 

Key Responsibilities

 

Equipment Functions

  • Ensure all EDI and manual transactions are received error free into GLOBE EM system.
  • Ensure any errors are corrected in the GLOBE Error Management system.
  • Assist the GSC team (India) that the MSK Equipment system (RKEM) and GLOBE EM module are in-sync
  • Support and promote equipment triangulation with the GSC and the BNT.
  • Ensure all equipment releases are sent to the depot and CODS from the GLOBE EM release module.
  • Ensure that the releases are coordinated with the depot and the BNT.
  • Coordinate special requests or demand request (wish list) to the BNT team or LOC management.
  • Ensure and monitor any special requests (release) requirements are managed with the depot, CODS and BNT.
  • Ensuring that sufficient equipment stocks are available to meet HS requirements, through CODS.
  • This includes monitoring equipment availability and coordinating with the respective BNT.
  • Ensure all movement updates in GLOBE meet any requirements from the COM organisation.


Operations Functions

  • Ensure all vessel schedules in GLOBE are updated and 100% correct.
  • Follow up on hot connections (full containers with tight T/S connections)
  • Assist HSDG commercial teams with any communications with the BNT Port Captains.

 

Intermodal Functions

  • Supportive to the intermodal coordinators and carry out any intermodal coordination work when required.
  • Monitor performance of inland transportation vendors for full equipment, including round trip movements.
  • Ensure that "in-house" intermodal vendors meet our standards of service quality and meet our current demand levels.
  • Ensure the Purchase Order billing process is functioning properly.
  • Ensure that intermodal transportation is carried out in an efficient and timely manner to ensure that local business requirements are meet
  • Ensure there is a seamless coordination of all full container movements with the respective COM team.

 

Cost Reporting Responsibilities

  • Receive, verify and code (in the system) all intermodal & operations invoices before these expenses are paid by the accounting department
  • Verify, and identify where all costs are coming from and specify what YMC code and port/location these cost are assigned
  • Ensure all non-disputed invoices are processed within 5 days and all disputed invoices are resolved within 7 days

 

About You

To be considered for this role, you will need to have the following essential and preferred skills and experience:

 

Skills Experience, Education, Qualities

  • Secondary school qualification
  • University Degree qualification is preferred
  • 2-3 Years relevant shipping industry experience preferably in multiple roles
  • Effective time management skills and ability to work within deadlines
  • Self-motivated and independent thinker
  • Ability to communicate, written or oral, effectively and clearly with vendors, other departments and customers
  • Ability to work effectively and efficiently within a team and independently
  • A good understanding of basic accounting principles
  • High proficiency all MS office applications particularly EXCEL and ACCESS
  • A good eye for detail, analytical in assessing issues in complex systems and workflows
