About the business
Donaldson Enterprises is a well respected and long standing family owned business operating as a importer and wholesaler of quality giftware and kitchenware.
We are situated in new purpose built premises just off the Port of Brisbane Motorway at Lytton.
About the role
As an integral part of the team, your day will be varied and interesting and will incorporate, but not limited to , the following tasks:
Communicate on a daily basis via email/ phone with Sea freight Forwarder to arrange how and when overseas shipments will be shipped.
Communicate with overseas suppliers via email
- to arrange overseas payments (prepayment, balance payments, deposits) and maintain a correct up to date record of all overseas Supplier Bank details.
- follow up on readiness of orders and estimated despatch dates
- ensure Supplier has made contact with overseas office of Sea Freight Forwarder to ensure timely shipment of goods.
- Follow up and ensure all shipping documents are prepared by Supplier correctly and on time and dispatched asap to ensure goods are cleared through Australian Customs and Quarantine avoiding delays in releasing the shipment.
Thoroughly check all Supplier documents and on forward to Sea Freight Forwarder.
Maintain and update internal stock database with shipment details when available and the ETA for stock.
Prepare Stock receipts sheet for each shipment for cross checking on receipt of goods.
Maintain and regularly update Excel Shipping Spreadsheet .
Receipt all overseas stock into our internal database and calculating landed cost.
Data entry of Invoices and Payments relating to overseas shipments into the In house Creditors system, and reconciling all payments and Invoices against the stock received to ensure landed costing is correct.
Other tasks that may arise include
- Communicate with Customs Broker regarding Customs entries and classification of products, or any Australian Quarantine direction in place for specific shipments arriving.
- Ensure all annual Supplier Packing Declarations are current.
- Calculate Marine Insurance for each shipment and maintain monthly Excel worksheet.
- Cross check shipments against existing Purchase Orders to follow up on any late shipments or items not shipped as per the original e.t.d date.
- Update where necessary or create new overseas Supplier in computer system.
- Prepare a budget forecast of expected overseas payments (3 months in advance). These figures then forwarded to Office Manager to assist in cash flow management.
- End of month reconciliation of Marine Insurance, unallocated overseas payments, Purchases Clearing Account, Sea Freight Forwarders Invoices. Cross checking of overseas payments made in advance with Unallocated Payments Report to ensure all advance payments are accounted for.

Skills and experience
Previous experience in a wholesale environment is preferred but not essential.
What is essential is a keen attention to detail, good working knowledge of Excel and Word as well as previous experience in receiving stock, preparation and payment of import documents and costing of landed stock in an import environment.
It would be anticipated you will have gained this experience over a minimum of 3 years in a similar role.
