The Contracts and Subcontracts Specialist is primarily responsible for administering, managing and maintaining contracts and subcontracts in accordance with Insitu Pacific's policies and procedures.  The Contracts and Subcontracts Specialist is also responsible for providing advice to management and staff on contractual matters on existing contracts, subcontracts and new business opportunities, and assisting in the management and mitigation of contractual and commercial business risk for Insitu Pacific.

Job tasks and responsibilities

  • Prepare, negotiate, interpret and execute the necessary contract instruments to properly represent the intended transaction or relationship and protect Insitu Pacific's position.
  • Ensure that proposed commitments reflect the intended contractual outcomes and that the proposed commitments are acceptable in terms of statement of work, schedule, pricing, payment arrangements, legal and contractual obligations, risk management or allocation and export/import compliance.
  • Ensure that contracts are administered in a manner that assures proper control and execution of contracts including organizational compliance with established policies, procedures, contractual obligations and audit requirements.
  • Assist with the establishment of adequate risk management or allocation plans and take all necessary steps to enforce Insitu Pacific's rights under each Contract.
  • Ensure that Insitu Pacific conducts its contractual business in compliance with all Export and Import Control requirements.
  • Assist in the maintenance of a register of contract and subcontract information and provide for safekeeping of all original contractual instruments.
  • Ensure that appropriate personnel are adequately trained on contractual matters to protect Insitu Pacific's commercial interests.  Development of user guides and training materials.
  • Development and maintenance of pro-forma documents per procedures & direction and configuration control of all such precedents.
  • Development and promulgation of, training on and adherence to assigned policies and procedures.
  • Provision of advice in relation to liabilities, indemnities and insurance amongst other matters in accordance with Company policy.
  • Active participant in the alignment of the Business Services objectives to the Company strategic direction.

Skills and experience

Essential

  • Tertiary qualification in a law or business related discipline.
  • Minimum of 7 years experience in contract/subcontract management and administration.
  • Demonstrated skills in successfully negotiating contracts / subcontracts.
  • Excellent communication skills (both written and verbal).
  • The ability to manage multiple tasks effectively while working to schedule commitments.
  • The ability to work accurately and unsupervised, and the ability to prioritise work as required and manage external/internal resources.
  • Proven ability to work in a busy team environment.
  • Proven ability to display a positive and flexible attitude, self-motivated and efficient.
  • Demonstrate ability to meet and adhere to critical deadlines.
  • Strong computer literacy including proficiency in the Microsoft Office suite.
  • Must be an Australian Citizen in order to hold or eligibility to obtain an Australian Security Clearance.
  • Personal alignment with Insitu's values.

Desirable

  • Experience in the Mining, Oil and Gas industry in a relevant discipline.
  • Understanding of Defence Contracting policies and procedures.
