BP’s Kwinana Refinery is one of the most modern in the southern hemisphere. It is Western Australia’s only refinery and with a capacity of 146,000 barrels of crude oil per day, it is Australia’s largest. On-going investment in refining technology has resulted in Kwinana being Australia’s most flexible refinery, capable of producing cleaner fuels such as BP Ultimate. We have approximately 450 employees and 350 contractors working onsite, each playing an important role to ensure that Kwinana continues to safely supply fuels to the Australian market.

We now have a vacancy for an Executive Personal Assistant to join our refinery team based in Kwinana. The role is primarily concerned with providing comprehensive and proactive administrative support to the Refinery Manager, thus contributing to the safe and efficient operation of the refinery itself. The role acts as the first point of contact for the Refinery Manager and involves but is not limited to a wide range of administrative activities that support the delivery of refinery objectives.

Key Responsibilities:

• Coordinate the Refinery Manager’s diary and travel plans and ensure meetings and tasks are appropriately prioritised
• Organise leadership team meetings, team-wide events and conferences for the refinery and manage all associated logistics within a defined budget (i.e. sourcing and booking venues, preparing and issuing pre-read and agendas, inviting attendees and monitoring responses, organising technical equipment, etc)
• Plan and co-ordinate domestic and international travel bookings ensuring all travel documentation is up-to-date, full programmes/itineraries are complete, vaccinations and travel safety requirements are in place and that delegations of authority appropriately issued for period of absence
• Prepare and brief the business leaders for upcoming appointments, meetings, conferences, and/or external visits by providing them with all relevant materials in a timely manner
• Act as the first point of contact for both internal and external visitors, screen incoming telephone calls and correspondence by ensuring queries are dealt with efficiently, actioning responses and/or delegating to other areas for action where possible to minimise disruption to the Refinery Manager
• Maintain organisation charts, distribution lists and other contact lists for the refinery teams
• Undertake administrative activities including but not limited to meeting minutes, the preparation of reports and presentations, invoice processing, processing of internal expenses and the creation and maintenance of registers and, occasionally, financial spreadsheets
• Lead and co-ordinate the internal communications such as teleconferences, updates, newsletters and other communications/events to ensure team connectivity
• Undertake ad-hoc projects and administrative duties specific to the operating unit as required


Essential Skills & Experience:

The successful applicant will have demonstrated experience of working successfully in an Executive Assistant role within an environment which frequently and rapidly changes and where priorities are constantly shifting. Intermediate Microsoft Excel skills are required and an advanced level of Microsoft Powerpoint skills is mandatory. The utmost level of discretion and confidentiality must be maintained at all times. This role interacts frequently with offices around the globe and, as such, the successful applicant must be understanding and sensitive to cultural differences and expectations.

The role will come with a level of autonomy to make decisions as necessary, therefore applicants must be confident in their ability to critically assess a situation and make the right decision.

Applicants with experience using the software system Maximo will be viewed favourably.
