Project Executive - White Night

About the Role

Working closely with the Project Manager White Night, the Event Executive will be responsible for supporting the Project Manager in all aspects of White Night planning and delivery in Melbourne and White Night Regional event/s.

Key Accountabilities

  • Act as first point of contact for suppliers
  • Work with the Marketing Project Executive to coordinate content for White Night Melbourne and White Night Regional social media channels and media monitoring
  • Coordinate the content and delivery of the White Night website including managing the website provider, writing and/or editing content. 
  • Work with Visit Victoria’s Hospitality, Ticketing & Events Manager to plan and deliver White Night Melbourne and White Night Regional Official Reception/s.
  • Coordinate economic impact assessment and market research requirements and delivery.
  • Coordinate any photography or filming.
  • Coordinate sponsor/partner benefits schedule and ensure approval processes are undertaken and benefits are delivered as agreed, liaising closely with the Artistic Director and Event Production Supplier and marketing suppliers.

About You

  • Project coordination experience with a track record of delivering successful, agile or iterative projects.
  • Strong interpersonal and collaboration skills, with demonstrated ability to work autonomously, interdepartmentally and externally.
  • Previous experience in the documentation of event evaluation and review of project outcomes.
  • Excellent writing skills, particularly in the area of supplier briefs, meeting actions and general correspondence with internal and external suppliers.
  • Prior experience coordinating meetings and minutes as required.
  • Sound understanding of Victoria’s tourism and events industry.
  • Tertiary Qualifications in any of the following: event, marketing or project management will be advantageous.
