Role Description:

The role of the Event Manager is to lead and grow the live and online events.

The Event Manager is the communicator, director, and project manager between all event-related team members, contractors, clients, and suppliers. They are the face and voice of the company and brand. The Event Manager takes ownership of the Events in order to create incredible, seamless, and high-quality event experiences for all parties involved: attendees, speakers, crew members, and venue partners.

 

Role Responsibilities:

  • Be part of the development and creative direction of new events
  • Venue and AV sourcing, negotiating, contracting and liaising
  • Build relationships with speakers including contracting and expectations
  • Create and execute event collateral incl schedules, run sheets, brochures, etc
  • Manage the communication process with attendees pre & post event (this will all be automated through Infusionsoft CRM system)
  • Ensure the CRM System maintains current and accurate data, including Tagging and Sales Orders are all documented effectively
  • Project manage the co-ordination of all aspects of the event on site including recruiting and managing crew members, AV, speakers and attendees
  • Project manage event finances including forecasts, reconciliations, event profitability (P&L) and lead generation and sales outcomes
  • Work closely with Customer Service to ensure clients have a seamless and excellent communication experience with the company, including overseeing confirmation calls, welcome calls and any other integrated customer service needs
  • Work closely with Social Media Managers (both content Manager and Ad Manager) to ensure the events get ample exposure and key messages are conveyed  
  • Work closely with Web Developer to ensure website is kept up-to-date and accurate with event listings and event content
  • Meet and exceed KPIs and budget requirements
  • Create a 5-star high-quality event experience for each and every event attendee and speaker
  • Work closely with the CEO to ensure all event expectations are met and maintain a strong level of communication on a daily basis
  • Continually create better and new processes and systems within the company to enhance efficiency
  • Seek new and better ways to create an exceptional event experience for our clients and set our company apart from our competitors
  • Support in basic marketing efforts when needed (training provided)
  • Support in company growth projects as needed (e.g. Company re-brand taking place later this year)
  • Be flexible to additional projects and tasks to support the overall growth of the company and/or the CEO

Role Skills & Experience:

  • Minimum 2 years’ experience in Event Management
  • Sales and negotiating experience 
  • Commitment to perfection 
  • Knowledge and understanding of social media and its purpose
  • Experience in keeping basic financial records and reconciliation of events 
  • Quick learner to use and optimise in-house CRM system and project management systems (knowledge of Infusionsoft or similar program an advantage, please mention in cover letter or CV.)
  • Exceptional attention to detail, time management skills, multi-tasking, and the ability to prioritise and co-ordinate tasks to obtain the best possible outcome 
  • Excellent communication and presentation skills, and always represent the brand well at live events
  • Experience in a fast-paced environment where there is continual change, flexibility and problem-solving
  • Ability to work on your own and keep yourself motivated and accountable through a driving passion to be the best Event Manager you can be, while also stepping into a full team environment.

Overall, you will be a vibrant self-starter with a demonstrated passion for live events and with a personal commitment to service and client/supplier/speaker satisfaction. 

Underpinning the role will be demonstrated excellence in personal organisation, ability to adhere to systems and procedures, work flow management, prioritisation, and completion and closure. You will be a problem solver, lateral thinker and have the ability manage team members and contractors and deliver events confidently with the highest level of quality, professionalism and also personality.
