The Estates Division is responsible for all aspects of facilities management, implementation of major and minor capital developments together with acquisition and disposal of the School’s land and buildings. It also provides security, portering, and postal services at the main Houghton Street campus. The Division employs around 170 staff to support these services, the majority of whom are located on the Houghton Street teaching campus.

As PA to the Director of Estates you will have dedicated responsibility for providing a full and varied range of administrative and secretarial support to the Director.  This will involve extensive, and often complex diary management, creating, formatting and updating spreadsheets, Word documents and Powerpoint presentations, document management, raising purchase orders and expense claims and arranging UK and overseas travel.  As a member of the Estates Admin Team you will report to the Head of Admin and provide cover in the absence of other key administrators. 

The postholder will need to be extremely flexible, adapting often at short notice to urgent and unplanned requests.  You will be comfortable with ever changing priorities whilst displaying a receptive and approachable attitude at all times, even when under pressure.  You will understand the importance of discretion when managing the Director of Estates diary and dealing with correspondence of a confidential nature.

You should be proactive and have experience of working in a large multi-disciplinary team, along with the ability to plan and prioritise your workload in order to consistently meet deadlines. Advanced knowledge of Ms Office suite and excellent communications skills, including written English grammar are essential.  Familiarity and a working knowledge of Adobe CS6 suite would be desirable.
