Summary of Responsibilities:

To ensure the effective and efficient operation of Administration and to provide accurate Management Information   

Principal Duties

  • Management of web/telephone and email based enquiries, allocating, where possible, to the relevant Business Development team member
  • Manage calendar of Director and independently schedules appointments.
  • Develop and maintain personal knowledge of priority sectors; market trends and routes to market for improved effectiveness within a sales support function.
  • Screen incoming calls, correspondence, and responds independently when possible.
  • Organise programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations and controlling event budget.
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities and records and transcribe minutes of meetings.
  • Prepare written documents such as agenda, notices, minutes, and reports.
  • Design, edit, and proofread written materials and/or presentations
  • Maintain document control as assigned; maintain department budget reports and/or records.
  • Compose and prepare confidential correspondence, reports, and other complex documents.
  • Responsible for manual and computer files for input, storage, retrieval, and editing of information.
  • Provide support in accurately maintaining the company CRM system, completing visit reports on behalf of the team and assisting with the development of the system along with providing management information and reports, as required.
  • Cooperate in positive manner to the growth of the organisation by providing required assistance to relevant staff
  • Document scanning and maintenance of documents
  • Support in new hire preparation and administration
  • Support in further administrative tasks
  • Accurate inputting of data onto the college computer systems or any related systems, including , bookings, attendance, completions, qualifications on entry, destinations, registers, timetables, financial payments.
  • To assist in organisation of enrolment of students at peak times and recruitment events.
  • Ensuring that all customers receive an excellent and helpful experience
  • To undertake any other agreed or associated duties to support the Business Development team
  • To work flexible hours when required and on some occasions at late notice and undertake early morning and evening duties at time of peak workload
  • Complimenting and developing teamwork and participate in team, quality and departmental meetings.
  • Undertake staff development to achieving performance for review and appraisal.
  • To work towards and contribute to the corporate aims of the college.
