Experienced Operations Manager with HE quality assurance experience for online learning organisation,

Immediate Vacancy

The NDA Foundation is a long-established, online learning organisation and we are looking for an experienced, enthusiastic Operations Manager who can co-ordinate operations within different sections of a small team of 25. They will need to understand, adapt and oversee processes in all departments and help to co-ordinate our future development. They would report directly to the Foundation Director. The ideal candidate will have previous experience of Higher Education, the quality assurance required and if possible, within a partnerships department. They will also be required to understand and help to develop the business structure and set goals with the Academy Director.

The successful applicant will have excellent administration and IT skills, the ability to design/adapt /develop and train staff on administration processes, be experienced with using project management software, strong attention to detail, good communication and time management skills. Able to set goals and lead all staff to adopt those goals and be an energetic, workaholic, with a sense of humour!

The Role:

The NDA Foundation is a not for profit organisation. We are a small creative team (approximately 25) who are passionate about helping our mainly mature, online students achieve  access to FE and HE through online learning. 

Its main brand is the National Design Academy, established for almost 30 years and delivers a range of high quality Interior Design qualifications online; Level 3 Diplomas, Foundation Degrees, BA (Hons) and a Master’s degree (through our partnership with Staffordshire University). Our second brand, National Motorsport Academy, launched the World’s first online Motorsport Engineering Degrees in 2015 and is recruiting successfully, with an online Master’s Degree due for early 2018. NMA also runs its own race team. We seek to remove the unnecessary bureaucracy associated with college & university whilst still maintaining our excellent quality provision. Nation Student Survey – NDA scored 100% for overall satisfaction.

As an online learning organisation when systems are developed this affects how the Admin team, the Tutor Team and the Creative Team will work, and changes to processes will have implications for the Virtual Learning Studio (VLS) which is the NDA bespoke online learning platform which stores student records and is connected to the CRM and the websites.  NDA frequently develops its courses and this may impact other areas, with staff having to design ways to ‘work around’ systems.

New processes will have to be designed and developed for each new development by an experienced Operations Co-ordinator who understands the impact for each department as each new development takes place. This may also affect quality assurance processes and will require regular liaison with our university partners, partnership manager and external examiner. Experience with helping to co-ordinate information required for annual monitoring with the university an advantage. 

Role

  • To understand how every department works & interacts
  • To manage inter-department operations
  • To gradually introduce changes to systems & working procedures where necessary
  • To understand and co-ordinate quality assurance processes
  • To work with our university partnership manager & external examiner
  • To attend partnership meetings etc. with the university & develop relationships with university staff
  • To help develop company-wide goals for the future that all staff can understand and follow
  • To attend all department meetings to assess for changes and any implications for other areas/VLS/website etc.
  • To prioritise VLS development with the Creative Manager and be able to assess if other requests have become urgent
  • Previous experience of FE or HE an advantage
  • To liaise with internal quality and assess any impact elsewhere
  • To liaise with marketing for their requirements, CRM, website etc.
  • With the Creative Manager liaise with the web developer to prioritise changes to websites and to the VLS and any likely impact to other areas
  • Understand the working timetable for Instructional designers & videographers managed by the creative Manager to ensure course content is published by dates required, linked to videographers
  • Understand shooting/editing timetable with videographers for course content and marketing materials
  • Design and operate appropriate reporting structures / targets for all areas using project management software
  • Design & create necessary reports, set targets and report directly to the Academy Director
  • Work with the Academy Director on new projects and help assess for viability and any future requirements for ops/systems and impact to other areas

As we create & develop all course material, web development, instructional design and e-marketing in-house, there is a diverse range of people involved from accounts & admin to our tutors and our creative team. Different styles of communication will be required.

We consult with all staff and believe that they are the best people to identify where changes may be required.  The Operations Manager will work alongside the Academy Director to discover areas for change in order to understand everything about NDA, its processes and its staff, in order to develop efficient systems of working for the future.
