Campus Life is a Service Division that supports an engaging and inclusive campus experience for students at the University of Auckland. We offer an array of well-being services as well as a growing range of student engagement services. These help students develop a sense of belonging, build friendships and engage in co-curricular activities that complement their academic development.

We have an opportunity for an extremely organised Portfolio Coordinator to provide assistance to the Associate Director, Student Engagement and Support within Campus Life. This position provides comprehensive and proactive administration and coordination support in this demanding (but rewarding) portfolio.

Key accountabilities:

  • Provide administrative support as required by the Associate Director, including diary management
  • Coordinate meetings (preparing agendas, arranging guest speakers, taking and distributing minutes and assigning/ tracking actions
  • Develop systems and processes to ensure the smooth and efficient operation of the portfolio; ensure these are continually improved and documented
  • Support the coordination of portfolio events, staff functions and outreach activities
  • Obtain and collate information to generate well-presented and timely reports for the portfolio

What are we looking for?

We are looking for someone with strong time management, prioritisation and planning skills who can put these to use and alleviate some of the time pressures which can act as a barrier to strategic thinking. In addition, our ideal applicant will be highly adaptable and able to build, maintain and navigate relationships at all levels throughout the portfolios.

We are looking for someone with:

  • superior verbal and written communication skills
  • fantastic time management with the ability to prioritise and provide progress/ status updates as needed
  • flexibility to adapt to changing situations quickly
  • ideally three or more years' experience in an administrative/ coordination role working with multiple stakeholders (Within a tertiary environment is preferred, but not essential).

To be successful in this role, you will need to be a brilliant communicator who invests in building relationships and understanding stakeholder needs, while being able to prioritise the needs of the portfolio as a whole. We are looking for a big picture thinker, who can deliver exceptional coordination and support day to day while also assisting the Associate Director with the strategic priorities. You will be confident managing your time (and the time of others as appropriate).
