HiRail Services Australia provides a diversified service to the rail construction and maintenance sector in the servicing and maintenance of vehicles and plant that have been specifically designed or modified to operate on track. Services range from initial and then regular plant inspections, to fully encompassing “Virtual Plant Manager” where a complete company maintenance schedule, documentation and compliance needs are met.

We have a newly created position and we are looking for a committed, hardworking, Administrator to join our team.

The successful applicant will be responsible for:

  • Using existing databases and potentially designing others, data entry into spreadsheets.
  • Assist in managing service and maintenance/repair bookings
  • Create purchase orders for the collection of workshop materials
  • Manage invoicing and the procedure
  • Ordering and allocation of PPE
  • Calendar management for maintenance and repairs on a daily basis and ensuring the systems is updated at all times so it can be used as a live document.
  • Provide exceptional customer service and ensure all telephone calls are answered promptly and courteously.
  • Regularly liaise with operations and workshop personnel regarding the scheduling of vehicle and equipment maintenance/repair and equipment availability.
  • Provide administrative support to workshop operations and internal/external clients.
  • Comply with Occupational Health and Safety policies and procedures.

Requirements for the position:

  • Preferable transport industry knowledge and an interest in mechanics.
  • Good level of IT literacy, particularly in Microsoft Office Suite of products ie; Excel and Word.
  • Effective written and verbal communication skills.
  • High level of initiative and attention to detail.
  • Excellent organisational, time management and problem solving skills.
  • Strong ability to prioritise and achieve results under tight time constraints.
  • Experience providing exceptional customer service.
  • Ability to work successfully in a team environment and autonomously.
